Privacy Policy

RoomOnlyChat ("we", "our", "us") operates the RoomOnlyChat platform, available at roomonlychat.app and via our mobile applications. We provide closed-loop group communication tools where members can interact without exposing their personal contact information to other members.

Account information. When you register, we collect your email address and password. You may optionally provide a full name. Your email address and other account details are never displayed to other members of any room.

Room activity. We store messages, files, polls, events, and reactions that you post within rooms. This content is associated with your group-specific alias, not your account identity.

Group membership records. We record which rooms you belong to, your alias and avatar within each room, your role (member, moderator, admin), and your join date.

Technical data. We collect standard server logs including IP addresses, browser or device type, and usage timestamps for security and abuse prevention purposes.

Payment information. If you subscribe to a paid plan, payment is processed by our payment provider. We do not store your full card number. We receive and retain a transaction record and subscription status.

We do not display your email address or phone number to other room members under any circumstances.

We do not build advertising profiles based on your private messages or room activity.

We do not sell personal data to third parties.

We do not show advertisements inside rooms or elsewhere on the platform.

We do not enable member-to-member search or cross-room discovery.

We use account information to authenticate you and deliver the service.

We use room activity data solely to display messages and features to participants of the relevant room.

We use technical data to maintain security, detect abuse, and improve reliability.

We use payment data to manage your subscription and billing.

We may use your email address to send service-related notifications — password resets, security alerts, and product updates. You may opt out of non-essential communications.

Room administrators can view the aliases of members in their room, membership status, and content posted within the room. Administrators cannot view the real email address or account details of members through the platform interface.

Abuse reports are visible only to room administrators and our trust-and-safety team. Other members are never shown that a report was filed or who filed it.

Messages and content persist until you delete them or until a room administrator deletes them. Rooms configured with disappearing messages delete content on the schedule you set.

If your account is deleted, your group membership records and associated aliases are removed. Content you posted within rooms may remain visible in its anonymised form or may be removed, depending on room settings.

We retain transaction records for seven years in compliance with applicable financial regulations.

We use industry-standard encryption for data in transit (TLS) and at rest. Access to production data is restricted to authorized personnel.

No platform can guarantee absolute security. Please use a strong, unique password and enable account verification features.

We use third-party infrastructure providers for hosting, payments, and email delivery. These providers process data only on our behalf and under contractual data-protection obligations.

We do not use third-party advertising networks, social-media tracking pixels, or cross-site behavioral trackers.

RoomOnlyChat is designed for users aged 13 and over. We do not knowingly collect personal data from children under 13. Organizations using the platform in contexts involving minors should review their own applicable regulations and policies.

Depending on your jurisdiction, you may have the right to access, correct, export, or delete your personal data. You may also have the right to object to certain processing or withdraw consent.

We may update this policy as the platform evolves. Material changes will be communicated by email or in-app notice at least 14 days before taking effect. Continued use after the effective date constitutes acceptance.
